How RefillFlow works

From a carded container to a refill request, a stores ticket, a pick and a recorded delivery at the line.

This guide describes the service scope. Access and the workflow supported for your site are confirmed during onboarding.

Set up items, locations and containers

A manager sets up the items stores supplies, the line locations that receive them, the stores queues and a fixed refill quantity for each loop. Each physical container gets its own identity and a permanent card. Setup also records whether each container starts full, part full or empty, because printing a card does not make a loop live.

Request at the line

When a container runs empty, the operator scans its card at the floor station. The station shows the item, refill quantity, destination and the stores queue the approved rules selected. The operator confirms with a touch or a separate confirmation scan, never with the card scan itself. Only a request the server has recorded shows as Requested.

Work the stores board

The refill ticket prints at stores and the request appears on the stores board. A stores person accepts it and takes responsibility, checks the material against its barcode, records the quantity picked and dispatches it. Each dispatch has its own ticket and stays in transit until the line receives it. Stores can also print a read-only pick list for several requests.

Receive at the line

At the line, the operator scans the dispatch ticket and the container, then confirms the quantity received. A part delivery leaves the rest in transit or outstanding. Deliveries to the wrong container, request or location are refused. When the full quantity has arrived, the refill is complete and the container is ready for its next cycle.
